The Records
Management Division provides citizens with access to public records
in a professional manner, maintains the official files of the City
of Cape Coral, and provides research services for internal and external
customers. They comply with the retention schedules of the State
of Florida. They provide a vital records protection and archival
program for the preservation of the history of the City of Cape
Coral.
The Records Management Division is located in the
City Clerk's Office on the first floor of City Hall and is open
from 7:00 a.m. until 5:00 p.m., Monday through Friday. Records are
available to the public and staff on microfilm, imaging and hard
copy as well as CDs. Some of the records available are residential
and commercial building plans, permits and applications, City Council
and Boards/Committees minutes, Ordinances, Resolutions, and City-owned
property deeds. We also have many maps, reports and plans available
from other City departments for the public to view or purchase.
Copies of City Council meetings are available for
purchase. A DVD or VHS copy is $10.
The cost for documents varies. Printouts from microfilm are $1 per page. Other printouts and standard copying is set at 15 cents per page or 20 cents per two-sided page. Copies of certain existing information are available on CD and sell for $5 each and DVDs sell for $10.
The City uses an imaging system for document storage and retrieval. The Clerk's Office has three document scan stations and one scan station for building plans. The Office has the capability of emailing certain documents. City Council minutes are on our website as well as City Council packets, which contain back-up material presented at the City Council meetings. Ordinances and Resolutions are available from the imaging system and our web page, including Ordinances enacted but not yet codified. Code Supplements also are available on our website
